Position Summary & Duties Responsible

POSITION SUMMARY

Administration Support Assistant Senior under direction of assigned supervisor, will perform a variety of administrative and technical support duties of considerable complexity requiring a thorough of knowledge of assigned department/division policies, procedures, local, state, and federal regulations. Coordinate assigned administrative services to support management and departmental/divisional staff. Ensure timely, accurate and delivery of final product. Respond to inquiries, information requests. Provide assistance to the public and external agencies related to the administration of department/division programs, projects, and services. Performs related duties as assigned. Job duties may differ depending on the needs of the Division/Department where assigned.

DUTIES AND RESPONSIBILITIES SUMMARY

  1. Provides administrative, technical, and programmatic support for assigned department or division in the daily management of operations by coordinating and participating in assigned administrative services operations and programs in areas such as accounting, budget administration, purchasing, and/or office management.
  2. Evaluates office and inter-departmental/divisional procedures, and makes recommendations and implements, after approval, procedural, administrative, internal control, and/or workflow changes as necessary to maintain efficient and effective office operations.
  3. Researches, analyzes, and compiles information and data from internal and external sources on topics related to assigned areas of responsibility; presents preliminary findings for review by supervisory or management staff.
  4. Researches, interprets, and ensures compliance with laws, codes, rules, and regulations, and County program guidelines, policies, and procedures related to assigned areas of responsibility.
  5. Designs, organizes, and maintains accurate and detailed databases, files, and records, verifies accuracy of information, researches discrepancies, and records information; ensures compliance with established records retention schedules.
  6. Independently composes various documents, correspondence, and reports.
  7. Receives, processes, and responds to public records act requests, complaints, and other requests for information; researches and organizes information; ensures timely response to all requests.
  8. Communicates with management and staff from other departments/divisions and agencies to obtain and relay information and to coordinate assigned activities.
  9. May exercise supervision of assigned staff.
  10. Serves as liaison between the assigned department and other service departments within the County.
  11. Receive and answer routine inquiries and telephone calls on behalf of the department to seek resolutions and answers to more complex matters while acting on behalf of authority delegated by the supervisor. Interact with management and staff of other departments and with the public on behalf of the department to communicate and provide appropriate information.
  12. Incumbent(s) in this classification may handle sensitive and/or confidential records, plans, documents or decisions that require maintaining confidentiality of sensitive information. ?

Minimum Qualifications

  1. High School Diploma or GED, and four (4) years of work experience in project administration, timekeeping, bookkeeping, security, law enforcement or related field. Any equivalent combination related to education and/or experience may be considered for the above requirements.

ADDITIONAL REQUIREMENTS

The offer of this Bernalillo County position requires compliance with the following:

  1. Employee must successfully complete the post offer-employment medical examination and background investigation.
  2. Employee must comply with the safety guidelines of the County.
  3. Employee must possess and maintain a New Mexico driver's license.
  4. Employee must complete required FEMA training(s) as assigned to position.
  5. Employee must complete required Supervisor classes if applicable.

WHILE AT BEHAVIORAL HEALTH

  1. Pursuant to the criminal history screening for Caregivers Act, Section 29-17-1 through Section 29-17-5 NMSA 1978, new hires at Bernalillo County Behavioral Health Services facility will be required to complete a caregiver criminal history screening for all caregivers. Conviction of a disqualifying condition is cause for termination or sufficient reason not to hire if applicant has a disqualifying condition on their record at time of application.

WORKING CONDITIONS

  1. All essential duties are performed indoors.
  2. Duties are performed in a temperature-controlled environment.
  3. Duties are performed on an even surface, which may be carpeted or tile. Working surface is typically dry.
  4. Works with minimum supervision.
  5. Employee handles information of a confidential nature.

EQUIPMENT, TOOLS AND MATERIALS

  1. Equipment typically used in the performance of office duties include telephone, computer terminal, computer printer, computer keyboard, typewriter, photocopy machine, fax machine and calculator.
  2. Materials and products handled in the course of performing essential duties include files, forms, reports, various other paperwork, and a wide variety of basic office supplies.
