Job Summary

South Mountain Community College is hiring a Temporary (One Semester Only) Administrative Specialist Senior for the Communication, Fine Arts, and Social Sciences Division. This individual will have excellent communication skills and independent decision-making abilities. This individual will work with a diverse population of faculty, staff, administrators, students, vendors, and the public. This individual will provide a variety of administrative office support, secretarial support, and/or program coordination activities for the Division Chair, faculty, and students. This individual is also responsible for processing various fiscal transactions, assisting with scheduling, event planning, and coordinating Performing Arts Events for the Division. Multiple online platforms/systems are used daily to accomplish daily department directives.

Essential Functions

20% - Coordinates and provides technical assistance on various special and ongoing projects in the Communications, Fine Arts, and Social Sciences Division such as coordinating Performing Arts events and coordinating with marketing to develop promotional materials for events and programs.

20% - Participates in the development, maintenance, and tracking of the divisional budget, travel, and scheduling needs.

20% - Maintains liaison relationships with other administrators, internal and external organizations on behalf of the supervisor and program coordinators.

15% - Performs a wide variety of secretarial and administrative duties including but not limited to screening routine calls and visitors, coordinating inventory and replenishing office and classroom supplies and equipment, providing a variety of information and specialized assistance to faculty, staff, and students specific to the area of assignment.

15% - Maintains filing systems, logs, and records such as course syllabi and programmatic documents; composes correspondence, designs complex documents, researches prices and availability of equipment to be purchased; prepares invoices for departmental services; completes book orders; maintains confidential payroll files and processes related documents; Provides general support by using technological skills and business systems such as FMS, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, Live25 reservation system, etc.

10% Perform other duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

High School Diploma/GED and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

Desired Qualifications

A. Experience involving frequent contact with management or external organizations on behalf of the supervisor

B. Experience working with administrative personnel (division chairs, deans, managers, etc.) for report preparation, data collection and analysis, and/or coordination of special projects

C. Experience monitoring, managing, and tracking a budget in a system similar to Financial Management System (FMS)

D. Experience working with on-line systems, such as Student Information Systems (SIS), Learning Management Systems (LMS) such as Canvas, and Blackboard

E. Experience with use of scheduling software, schedule development and maintenance of various complex records related to scheduling

F. Experience managing sensitive student and employee issues with discretion and privacy

G. Experience communicating (oral and written) effectively with diverse groups of students, staff, faculty, industry professionals and community members

Special Working Conditions

  • May be required to work early morning, evenings, and weekends
