Position Summary |
The College of Health and Applied Sciences (
CHAS) at Metropolitan State University of Denver manages the provision of professional education for 14 departments, centers, and institutes delivering undergraduate to graduate programming. This position exists to work closely with the
CHAS Dean, Associate Deans, Dean's Office Staff, Department Chairs, and Directors. This position provides executive-level administrative support to the
CHAS Dean as well as leadership and oversight of daily administrative operations in the Office of the Dean. The Assistant to the
CHAS Dean will be expected to work with and for others, building and maintaining relationships, as they work closely, accurately, and independently, within broadly defined guidelines. The Assistant should be an effective communicator; someone who is aware of and responsive to the needs and concerns of the many types of constituents who interact with the Dean and who work in the Dean's office.

Duties/Responsibilities |
Executive Assistance (80%)
- Facilitates the efficient utilization of the Dean's time through the development and coordination of a complex, constantly changing calendar of appointments, meetings, social engagements, and University and community functions with individuals and groups. Prepares and presents accompanying briefing materials and meeting documents and requirements, several days in advance. Tasks include coordinating logistics, proofreading, editing and/or preparing reports, materials and communications for calendar events. Synthesizes information from documents and materials and provides executive summaries when necessary for the Dean's use
- Provides leadership to fellow administrative support staff and sets priorities within the office to effectively carry out the core daily operations of the office and serve internal constituents. Duties include coordinating with other administrative support staff within the University, ensuring that the standards of professionalism and customer service reflect the values and service standards communicated by the Dean, and leading staff meetings and projects
- Coordinates the flow of incoming communications and outgoing communications by receiving, prioritizing and routing, and/or responding to incoming communications and determining the appropriate office, department, or agency for outgoing communications. Provides exceptional customer service to all constituents. This includes fielding inbound phone calls and e-mails to the Dean for business, student- and parent-oriented questions, meeting requests and concerns, and developing responses from the Dean for her consideration
- Manages high-level meeting preparation and execution. Tasks may include coordinating agenda items, finalizing materials, scheduling rooms, speakers, and presentations, as appropriate, and preparing minutes
- Coordinates personal logistics for the Dean, as assigned, including scheduling personal appointments, ensuring professional and personal events are well-coordinated, and meal reservations are made at appropriate locations and times, etc.
- Manages and executes a variety of special projects, as assigned. Tasks may include conducting research, preparing reports and presentations, as needed
- Provides project, planning or administrative assistance to other executive team members, at the direction of the Dean
- Contributes to the overall success of the College and University by performing other essential duties and responsibilities as assigned
Office Management (20%)
- Monitors front office staff and processes to ensure compliance with state and federal laws, including FERPA regulations and applicable Public Records requirements
- Supervises front office staff, including student employees who function in varying capacities providing office support. Interviews, hires, trains and monitors student employees, evaluates work product and performance of all front-office staff, and initiates corrective and disciplinary action when appropriate. Tracks front office student staff award money, adjusting staff hours when necessary to comply with award amount, and completes student time entry in Banner
- Maintains the professional functioning of the office, ensuring that visitors receive excellent service during business hours, calls and emails are responded to thoroughly and in a timely manner, and that proper follow up is provided as needed
- Trains student staff on all potential student issues and proper ways to intercept them. Assists student staff when needed on handling student, faculty and/or staff issues that are presented in the Dean's office, and helps student staff make ultimate decisions to triage issues
- Processes student registration forms in Banner
- Provides information on project needs and status to the Deans to use in decision-making, forecasting, and evaluation
- Manages the implementation of the CHAS Strategic Plan by determining requirements, communicating with partners in implementation, tracking status of implementation, and providing updates as needed to the deans and partners in implementation
- Assists Associate Deans with project planning and implementation, including Program Review and Accreditation
- Assists Associate Deans with annual department reports from each department and organizing executive summaries and editing the report
- Manages donor communications for the College through effective use of appropriate communication tools

Required Qualifications |
- Graduation from an accredited college or university with an Associate's degree or higher
- Demonstrated experience providing customer service in a professional setting
- Demonstrated ability to produce clear and professional written communication
- Demonstrated ability to collaborate and work well with people from diverse backgrounds

Preferred Qualifications |
- Experience working within higher education
- Graduation from an accredited college or university with a Bachelor's degree
- Strong ability to communicate effectively by phone, email, video, or in person

Work Hours |
Monday - Friday, 8:00 am - 5:00 pm.
While this position is an on campus role, there will be flexibility of some remote work opportunities and hybrid schedules (to be negotiated with the finalist). |
